Self Strata helps bodies corporate run their own schemes. Doing that means holding personal information about lot owners and committee members. This policy explains what we collect, why, and the choices you have. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

What we collect

Information your committee enters to run the scheme: names, email addresses, phone numbers, lot numbers, addresses for service, levy and payment records, meeting attendance and votes, maintenance requests, and documents uploaded to the records centre. If you sign in, we also keep the technical basics needed to operate an account securely (a hashed password, session details).

Why we collect it

Solely to operate your body corporate: keeping the roll required by Queensland body corporate legislation, issuing meeting notices and levy notices, recording votes and minutes, tracking repairs, and communicating between owners and the committee. We do not sell personal information or use it for advertising.

Who can see it

Access follows body corporate roles: the committee and any appointed manager can see the full roll and contact details; ordinary owners see their own information plus what legislation makes available to owners (such as meeting minutes); guests see only what the committee makes public inside the scheme. Documents can also be shared outside the platform through expiring links that the committee creates deliberately and can disable at any time.

Where it lives

Your scheme's data is stored on secure cloud infrastructure. Some service providers we use to deliver the platform (such as email delivery) may process limited information — only what is needed to deliver their service.

How long we keep it

Body corporate records must be retained under Queensland legislation, so scheme records are kept for as long as the scheme uses the platform and as required by law after that. You can ask the committee to correct information held about you at any time.

You may request access to, or correction of, your personal information by contacting your committee or emailing us at the address below. If you have a privacy concern we cannot resolve, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).
